Count the steps you are actually asking for: open the PDF, find a printer, sign it, find a scanner or photograph it straight enough, attach it, reply. Six actions, at least one of which needs hardware most people no longer own.

None of them is hard. All of them are postponable. And a quote that gets postponed on Friday is a quote that competes on Monday with whatever else arrived over the weekend. The delay is not indifference — it is friction, and friction is the part you control.

What an acceptance actually has to record

A handwritten signature is one way to evidence agreement. It is not the only one, and in most of Europe it is not legally special for ordinary commercial work. What matters is that you can later show who agreed, to what, and when.

A scanned signature on a printed page gives you three of the four. The fourth — proof the document is the same one that was signed — is exactly the thing a scan cannot show.

The point of capturing acceptance properly is what happens next. An accepted quote in Flowzivo becomes an invoice in one click, carrying the lines, the amounts, the VAT treatment and the reference back to the quote number. You are not retyping a document you already wrote, and the two documents point at each other for the client's accounts payable.

If your terms include a deposit, the first invoice is the deposit — the percentage from your settings, netted off the final invoice automatically.

Questions

Is an online acceptance legally binding?

For ordinary commercial work in most of Europe, a clear record of who agreed to what and when is generally sufficient to form a contract — a handwritten signature is not required. Some documents (certain property, employment or notarial matters) do have form requirements. Check what applies to your own contracts before relying on this.

Can the client change the quote before accepting?

They can include or exclude the items you marked optional, and the total updates as they tick. They cannot change your prices or add lines — anything else has to come back to you, which is the correct outcome.

What if they accept and then want to change something?

Issue a revised quote with a new number rather than editing the accepted one. The accepted version stays as evidence of what was agreed, and the revision documents the change. Silently editing a document someone accepted is how disputes start.

Do I need a server to host the acceptance page?

No. It is a single HTML file — you can attach it to an email or upload it anywhere. If you already host a site, dropping it in a folder gives you a link instead of an attachment, which looks better but works the same.
