What a freelancer actually needs from an invoice tool

The list is shorter than software companies want it to be. An invoice needs a number that follows the last one without a gap, the two sets of details that make it a legal document, the work described in a way the client recognises, a total that is arithmetically right, and a way to reach the client's inbox. Everything beyond that is convenience.

Where tools built for companies go wrong is that they treat each of those as a configuration step. You end up with a twenty-minute setup before the first invoice, and the first invoice was the whole reason you opened the tab.

Flowzivo fills the invoice as you type and shows the finished document next to the form. What you see is exactly what the client receives — the same layout, the same fonts, your logo where you put it. There is no separate preview step and no surprise at the PDF stage.

Numbering that survives an audit

Invoice numbers are the part people improvise and then regret. Most jurisdictions expect a sequence with no gaps and no reuse, and the moment you have deleted a draft or started a new year, an improvised scheme breaks.

Flowzivo reserves the next number when you create a document and keeps a mark of the highest number used, so a hand-typed number pushes the counter forward instead of colliding with it. You can set your own prefix and the year is handled for you. If you need to cancel an invoice that has already gone out, you issue a credit note rather than deleting the row — which is what the sequence rule requires anyway.

Getting paid, not just invoicing

An invoice sent is not money received, and the gap between the two is where freelance businesses actually fail. Flowzivo tracks the balance of every invoice, records partial payments, and marks a document overdue the day after its due date rather than leaving you to notice.

The dashboard opens on one number — what you are owed right now — and how much of it is late. From there a single link drafts the chase email, with the invoice number, the amount and the original due date already in it. Chasing is unpleasant enough without also having to look things up.

Clients in other countries

If you invoice across borders, the awkward parts are VAT and currency. Flowzivo lets you set a currency per client, so a German client is billed in euro and an American one in dollars, while your dashboard still totals everything in your own currency. Tax is a per-document field, which is what you need for reverse charge: zero rate on the document, the explanatory note in the invoice text.

Flowzivo does not file your VAT return and does not pretend to know your obligations. It produces a document that says the right thing and a report that tells you what you invoiced and collected in a period.

What it does not do, so you can rule it out quickly

Flowzivo does not do bookkeeping. There is no chart of accounts, no bank feed, no double-entry ledger and no filing of returns. If your accountant needs a trial balance from you, this is the wrong tool and you should be looking at accounting software with an invoicing module rather than the other way round.

It also does not process payments. It records that an invoice was paid and how much of it, and it can put a payment link you already have onto the document, but the money moves through your bank or your payment provider, not through Flowzivo. That is deliberate: taking a percentage of your invoices would change what the product is for.

What is left is the part between agreeing the work and being paid for it. For a lot of freelancers that is the only part that was ever the problem.

Where your data lives

The application runs in your browser and your workspace is stored there. That means it opens instantly, works without a connection, and nothing leaves the machine until you decide otherwise. Creating an account adds synchronisation across your devices; it is not the price of using the product.

You can export a complete backup at any moment, and individual lists as CSV. This is worth checking before you commit to any tool: the export function is the thing you will need on the day you want to leave, which is exactly the day the vendor has least interest in it working well.
